Xenia, Jolt through SmartSense, Crunchtime Ops Execution and Taqtics are all quote only. None of them publishes a figure on their pricing page.

For Jolt, Capterra lists a starting figure of $89.99 per month. That number does not appear on any vendor page and may predate the Digi International acquisition in August 2025, so treat it as unverified.

For Xenia, all three tiers on their pricing page read as custom pricing per location, and sensors, ticketing, asset management and label printing are listed as separately priced add-on modules.

Work through a real example. Twenty locations, fifteen hourly staff per location, so 300 people who need to complete a checklist, plus 20 managers and 3 area supervisors.

Per location with unlimited users. At $79 per location, that is $1,580 a month regardless of whether 300 or 500 people log in. Hiring does not change the bill.

Per user. At $24 per user, if all 323 people need an account, that is $7,752 a month. If only the 23 managers need accounts and hourly staff use a shared device, it is $552.

The gap between those two numbers is the single most important thing to establish in a sales conversation, and it depends entirely on a question most pricing pages do not answer, which is who needs their own login.

Ask this specifically. Do hourly staff completing a checklist need individual accounts? Are view only or request only accounts free? MaintainX’s requester accounts are free, which materially changes the arithmetic and is the kind of detail that does not show up in a comparison table.

Setup and implementation. UpKeep bills implementation separately starting at $500. Limble includes implementation, training and support in the licence. Hardware. If you want Bluetooth temperature probes, budget for them. The Cooper-Atkins and Copeland KwikSwitch BLE 94100-B is around $229 and the Multi-Function Thermometer around $450, per unit, per location. Wireless sensors that monitor coolers continuously are a separate and generally larger cost, usually priced per sensor with a recurring fee, and are rarely included in a base tier.

Label printers. If date code labelling matters, the printer and the label stock are ongoing costs on top of software.

Add-on modules. This is where quote-only pricing gets expensive. Ask for the price of the bundle you actually need, not the base tier.

Contract length and cancellation. Several Jolt reviewers describe being held to the remainder of an annual term on a service they had stopped using. Read the cancellation clause before you sign anything, whoever you sign with.

What you should budget

One to three locations. $30 to $100 per location per month. At this size, the per-location vendors are almost always cheaper, and the free tiers are worth testing. Mitti’s free tier handles up to 10 seats but caps you at five active templates, which you will exceed quickly if you run opening, closing, line check, cleaning, and receiving forms.

Four to twenty locations. $60 to $150 per location per month. This is where per-location pricing usually pulls decisively ahead of per-user, because headcount has grown faster than management. Budget $1,200 to $3,000 a month at fifteen locations, plus setup.

Twenty to a hundred locations. Still per location for most operators, but this is where quote-only vendors start to compete properly and where volume discounts appear. Ask for them.

Above a hundred locations. Everything is negotiated. Expect the conversation to widen into inventory, labour and back office, and expect Crunchtime and Restaurant365 to enter the picture at a materially higher total cost, because they are doing materially more.

Is it worth it

Depends what you are replacing. The honest comparison is not software cost against zero; it is software cost against the cost of the current arrangement.

A single failed health inspection, a spoiled walk-in of product, or one repair that got worse because nobody logged it will typically cost more than a year of any product on this page. That is the argument vendors make, ours included, and it is genuinely true. It is also not measurable in advance, so treat it as a reason to try something rather than a number to put in a business case.

What you can measure is time. Ask your managers how long they currently spend chasing paperwork and following up on routine tasks, then check that against the subscription cost. That is a defensible calculation, and you can do it before you buy.

The one thing to do before you buy

Ask every vendor on your shortlist for a single number, which is the total you will pay in the first twelve months, including setup, hardware, and every module you need, at your actual location count and headcount.

Some will give it to you in an email the same day. Some will need three calls. That difference tells you something useful about what working with them will be like.
